Introduction
There are two ways in which projects are added to Mi Project.
Projects Synced from CRM
Projects added to CRM automatically sync to Mi Project. Only projects that have the following CRM status will become active on Mi Project: Probable and Early Probable.
Please note: projects are available within Mi Project for activation from CRM status Tender in System, these projects will appear in the Inactive tab and can be activated from there
Once a project has synced, the relevant LCO manager will be notified and they will be required to fill out additional project information.
Any project information that is greyed out is synced from CRM and cannot be amended in Mi Project. If you think something is wrong with the CRM data, please contact your LCO Mi Project Manager who will be able to review this for you.
Manually Adding a Project
If your project is not appearing in Mi Project, please check that it has been added to CRM and that it has the relevant status (as above).
If you project is not on CRM, but you need to make it available on Mi Project, you can do this manually by going into the Admin and clicking on Project Setup. Once on this page, click on ‘Add New Project’.
You will be required to fill out some basic project information:
Name:
Name of the project.
Sub Project Name:
If applicable.
Contract No:
Contract Number of the project. This is required if you want to sync data from FieldView.
CRM Identifier:
If your project is available on CRM, populate this field with the CRM ID and any available data will sync through automatically to Mi Project.
Managing LCO:
Please select which LCO is responsible for this project.
Framework:
Please select which framework this project is being managed through. If it not part of a framework, please select ‘not framework led’.
Project Description:
Enter a short description of the project.
Further Project Configuration
Once a project has been added to Mi Project, the relevant LCO manager will be required to complete some additional configuration data:
Organisation:
Please select which client this project belongs to.
Sector:
Please select the relevant sector from the drop down
Region:
Please select the relevant region from the drop down
Performance / Project Lead:
The nominated user will be responsible for submitting KPI data for this project. They will also receive notifications for KPI submission actions.
H&S Lead:
The nominated user will be able to log accidents and incidents against this project.
Community Lead:
The nominated user will be able to log community investment/engagements for this project.
Environmental Lead:
The nominated user will be able to manage the SED section for this project.
Director Responsible:
Please select the director responsible for this project.
Components:
If you would like to hide a project from a specific Mi Project component, please tick the relevant box. This will remove it from any data requirements or reporting for that component.
Project Confidential:
Tick this box if the project is confidential.
Phase:
You can either select the project phase, or choose automatic. If automatic is selected, Mi Project will determine the phase based on the dates entered in KPI input.
Document Management Portal:
Please select which document management portal if used for this project. If no document management portal is used, please select ‘none’.
Start collecting environmental data on:
Please enter the date the project needs to start collecting environmental data.
Finish collecting environmental data on:
Please enter the date the project needs to finish collecting environmental data.
Ten point plan criteria year:
Please select which ten point plan criteria year this project should be using.
Micro site link:
If the project has a micro site, please enter the URL into this field. This will only be shown on Mi Map.
Show on map:
Tick this box if you want the project to appear on Mi Map.
Project location:
Please enter the location details of the project.
Aftercare:
This section will be completed by the nominated Aftercare manager at the appropriate time.
